Set up EUDR for a company
Overview
Once a company exists, you configure its EUDR-specific data on the EUDR tab. This is what turns a company record into an entity that can run risk assessments and file Due Diligence Statements. There are two things to set: the size classification and the TRACES credentials.
Before you start
- The company must already exist (see Add a company).
- Have the company's financial figures ready: total assets, net sales, and average number of employees.
- Have the company's TRACES account username and API key. The API key is generated inside your TRACES account.
🟢 Why this matters. Two things on this tab carry direct regulatory weight. Your size classification decides when your EUDR obligations begin and whether you qualify for the simplified due diligence available to smaller operators. Your TRACES credentials are what let kolum file Due Diligence Statements in the official EU system on your behalf.
Set the size classification
The size class is derived from three figures. kolum shows the resulting class next to Current classification.
- Open the company and select the EUDR tab.
- On the Size Classification card, select Edit.
- Choose the range for each figure and save.
| Field | Notes |
|---|---|
| Total Assets | The company's balance-sheet total, chosen as a range. |
| Net Sales | Net turnover, chosen as a range. |
| Average Employees | The average number of employees, chosen as a range. |
The figures map to the EU size categories used by the regulation:
| Class | Employees | Net sales | Total assets |
|---|---|---|---|
| Micro | up to 10 | up to 900,000 € | up to 450,000 € |
| Small | 10 to 50 | 900,001 to 15,000,000 € | 450,001 to 7,500,000 € |
| Medium | 51 to 250 | 15,000,001 to 50,000,000 € | 7,500,001 to 25,000,000 € |
| Large | over 250 | over 50,000,000 € | over 25,000,000 € |
Add the TRACES credentials
TRACES is the EU information system where Due Diligence Statements are filed and reference numbers are issued.
- On the EUDR tab, find the TRACES Credentials card and select Edit.
- Enter the Username and API Key from your TRACES account.
- Save.
| Field | Notes |
|---|---|
| Username | The username of your EU TRACES account. |
| API Key | The API key generated in your TRACES account. kolum uses it to submit statements and retrieve reference numbers for you. |
Why the size class matters in practice
The class sets your application deadline and the depth of due diligence expected:
| Class | Obligations apply from |
|---|---|
| Large and medium | 30 December 2026 |
| Micro and small (non-timber) | 30 June 2027 |
Smaller operators also benefit from simplifications introduced by the 2025 amendment, such as lighter declaration updates.
Tips
- Revisit the size classification whenever your figures change across a financial year boundary; the class, and therefore your deadline, can change.
- Store the TRACES API key as soon as the company is created, so a Due Diligence Statement is never blocked at submission time for a missing credential.
Troubleshooting
- A Due Diligence Statement fails to submit. Check the TRACES username and API key on this tab. An expired or mistyped key is the most common cause.
- The classification looks wrong. Re-open the Size Classification card and confirm each of the three ranges.
ℹ️ Regulatory context. Company size and the phased application dates are set by the EUDR and its 2025 amendment; the filing of statements runs through TRACES. See the consolidated EUDR text.
