User Management
Overview
Managing users in kolum keeps your workspace secure, organised, and ready for collaborative due diligence. Users and their roles are shared across all modules of your account, so the team you set up here is the same team that works in CBAM and PPWR.
🟢 Why this matters. Due diligence involves several hands: someone onboards suppliers and collects plot geolocation, someone assesses risk, and someone submits the Due Diligence Statement. Giving each person the right role makes that chain of responsibility visible and auditable.
Before you start
- You need the Client Admin role. Only Client Admins can invite users, change roles, or remove access; auditor roles do not see the Users section at all.
- Know which of the six roles each person needs (see User Roles) and, for Company Admins and Company Auditors, which companies they are responsible for.
Invite a user
- Open the settings (gear) icon in the top-right and select Users.
- Select Add New and enter the person's first name, last name and email, plus an optional job title and phone number.
- Choose the role from the Role dropdown: Client Admin, Client Auditor, Company Admin, Company Auditor, Customs Officer or Procurement Officer. For company-scoped roles, select the companies the person is responsible for.
- Select Create User. The person receives an email invitation, sets a password, and has the permissions of their role when they sign in.
Assign or update a role
- Open Users and locate the person in the list.
- Select the edit (pencil) icon in the Actions column.
- Choose the new role in the Edit User panel and save. The change takes effect immediately, so pick the role that matches the person's current responsibilities.
Reset passwords and remove access
- A user who has forgotten their password can request a reset from the sign-in page; a Client Admin can also trigger a reset for them from Users.
- To end someone's access, remove the user from the account. Assessments and statements they worked on stay in place.
Tips
- Have at least two Client Admins so administration never depends on one person.
- Review the user list when people change roles or leave, and keep company assignments of Company Admins and Company Auditors current.
