User Roles
Overview
User roles in kolum define what each person in your organisation can see and do. For EUDR, roles decide who can maintain companies, articles and suppliers, who can send data requests and run risk assessments, and who can submit Due Diligence Statements. Assigning roles deliberately keeps sensitive due diligence data in the right hands and makes accountability clear.
Roles are set per user and apply across the modules your organisation uses, so a person's role in CBAM or PPWR is the same role they hold in EUDR. The six roles below are the ones offered in the role picker when you invite or edit a user, and they are shown, together with your client or company, in the sidebar footer once you are signed in.
🟢 Why this matters. The EUDR places the due diligence obligation on the operator or trader as a legal entity and requires a Due Diligence Statement before goods are placed on the market. Clear roles make it obvious who collects the evidence, who assesses the risk, and who is entitled to file the statement. See the consolidated EUDR text.
The roles

| Client Admin | Full administrative access across the whole account: all companies, users, suppliers, articles, purchase orders, risk assessments and Due Diligence Statements. Invites users and assigns roles. |
| Client Auditor | Read-only access across the whole account. Can review every assessment, statement and document without changing anything. Does not see the Users section. |
| Company Admin | Full access to the companies assigned to the user: set up EUDR for the company, maintain articles and their EUDR relevance, create purchase orders, collect data, run risk assessments and submit Due Diligence Statements for those companies. Cannot invite users or create companies. |
| Company Auditor | Read-only access to the companies assigned to the user, including their assessments and statements. Does not see the Users section. |
| Customs Officer | Focused on imports and customs-related records, where the Due Diligence Statement reference numbers are needed. |
| Procurement Officer | Focused on suppliers and the data they provide: maintains supplier records, invites suppliers to connect, and requests production locations and documents. |
In the German version of kolum the roles are called Account-Admin, Account-Auditor, Unternehmens-Admin, Unternehmens-Auditor, Mitarbeiter Zoll and Mitarbeiter Einkauf.
