Understanding user roles

Overview

Your account can have more than one user, and each user has a role that controls what they can do. kolum uses the same six roles in every module, so the role a colleague holds for EUDR is the role they hold for CBAM and PPWR as well. This page explains the roles so you can give colleagues the right access.

🟢 Why this matters. Clear roles keep your data accurate: the right people can provide plot locations and documents and answer your buyers' requests, while others can simply view.

The roles

Client AdminFull access to your whole account: manage users and roles, companies and production facilities, production locations, documents, and respond to every data request. The person who accepted your customer's invitation holds this role.
Client AuditorRead-only access to your whole account. Sees requests and the data provided, without changing anything, and does not see the Users section.
Company AdminFull access to the companies assigned to the user: maintain production locations and documents, answer data requests for those companies. Cannot invite users or create companies.
Company AuditorRead-only access to the companies assigned to the user, and no access to the Users section.
Customs OfficerFocused on imports and customs-related records of your account.
Procurement OfficerFocused on your own upstream suppliers and the data they provide, if you also buy from suppliers yourself.

In the German version of kolum the roles are called Account-Admin, Account-Auditor, Unternehmens-Admin, Unternehmens-Auditor, Mitarbeiter Zoll and Mitarbeiter Einkauf.

Tips

  • Give day-to-day contacts the Company Admin role, so answering requests never waits on one Client Admin.
  • Keep the number of Client Admins small, but have at least two so administration does not depend on one person.
