Validity and volume tracking

Overview

A Due Diligence Statement is not open-ended. It is valid for a period of time and covers a maximum volume. When either runs out, the statement can no longer be used, and you must obtain a fresh one. This page explains both limits and what to do when they are reached.

🟢 Why this matters. A statement only stands behind the goods it was assessed for. Using it beyond its validity or its volume would mean placing goods on the market without valid due diligence. See the consolidated EUDR text.

Validity period

Each statement runs for 365 days from its creation date, shown as a start and end date (for example, 2025-11-10 to 2026-11-10) and a countdown such as 144 days remaining. Once the end date passes, the statement shows Expired and can no longer be used.

Volume ceiling

A statement covers a maximum volume (for example, 1,500 tonnes), and each import draws against it. The list and detail show the volume used against the maximum, the amount remaining, and, where relevant, the equivalent in pieces. When the full volume is used, the statement shows Max Volume Reached.

When a statement runs out

Whether it expires or reaches its maximum volume, the response is the same:

1. Request fresh due diligence data from the supplier (see Step 1).
2. Run the risk assessment again (see Step 2).
3. Submit a new Due Diligence Statement (see Step 3). Until then, further imports of that supplier-and-article combination are not covered.

Tips

• Watch the countdown on high-volume articles, and renew before expiry to avoid a gap that would hold up an import.
• Declare a realistic maximum volume when submitting, so a single statement covers your expected orders for the period.

Troubleshooting

• An import is not covered. The statement may be expired or at its volume ceiling. Check its validity and volume, and renew if needed.
