Step 1 — Collect due diligence data

Overview

Step 1 gathers the information the EUDR requires about the supplier and the product, above all the geolocation of the plots where the commodity was produced. The data usually comes from the supplier, in response to a request you send.

🟢 Why this matters. The regulation requires you to collect specific information before assessing risk, including the geolocation of every plot of land (Article 9). Without it, the assessment cannot proceed and no valid Due Diligence Statement can be filed. See the consolidated EUDR text.

Before you start

• The Supplier x Article pair exists (created from a purchase order).
• The supplier is connected, with an Active kolum Account Status, so the request can reach them (see Invite a supplier to connect).

Request data from the supplier

1. Open the pair from the Risk Assessment list (Open), or use Request Due Diligence Information directly on the row.
2. In the Due Diligence Information provided by Supplier section, select Request from Supplier. kolum sends the request to the connected supplier, who submits the data from their own view.
3. To request from many pairs at once, select the rows awaiting assessment in the list and send a bulk request.

What the supplier provides

Once the supplier responds, their data appears under Supplier Data:

• Country of Delivery and Volume.
• Production Geolocation Coordinates: the plots of land, as coordinates (for example Plot A, Plot B, Plot C), tied to the country of production.
• Documents, such as a compliance certificate, a supply-chain due diligence report, or a human-rights policy. Each document is tagged to a risk category (for example Legality Risk, Country Risk, Human Rights) and the EUDR article it supports.

You can also Edit the collected data or Add Document yourself, for example to attach evidence you hold directly. Whatever arrives is stored on the supplier's EUDR tab and reused across assessments.

When Step 1 is done

When the required data is present, Step 1 shows Done and the pair is ready for the assessment analysis in Step 2.

Tips

• Invite and connect your suppliers before you need their data, so requests are answered quickly.
• Use bulk requests when onboarding many pairs at once.

Troubleshooting

• I cannot send a request. The supplier may not be connected. Invite them first, then request the data.
• The supplier has not responded. Follow up with Send reminder on the Suppliers list, or add any documents you already hold with Add Document in the meantime.
