Invite a supplier to connect
Overview
Connecting a supplier lets them share data with you directly: EUDR documents, production locations, and their responses to your data requests. The connection is managed from the kolum Account Status column on the Suppliers list, and per person from the supplier's Contact Persons on the General tab.
Before you start
- The supplier must exist, with a default contact person who has a valid email (see Add a supplier).
🟢 Why this matters. Much of your EUDR evidence has to come from the supplier. A connected supplier can provide plot geolocation and documents through their own view, which is how your data requests during a risk assessment are delivered and answered.
Send or manage an invitation
- Go to Suppliers in the sidebar.
- In the kolum Account Status column, use the action shown for that supplier:
- Invite to send the first invitation to the default contact person.
- Send reminder to prompt a contact person whose invitation is still pending. You can send one reminder per 24 hours; the button stays visible next to Revoke but is disabled until the 24 hours have passed.
- Reinvite to start again after an invitation was revoked or declined.
- Revoke to withdraw a pending invitation or the supplier's access.
- To invite a specific person, open the supplier, go to Contact Persons on the General tab, and use the invite icon next to that contact.
kolum Account Status
| Status | Meaning | Typical next action |
|---|---|---|
| Not invited | No invitation has been sent yet. | Invite. |
| Pending | Invited, waiting for the contact person to accept. | Wait, or Send reminder (once per 24 hours). |
| Active | The contact person has created a supplier account. The supplier can share data with you. | Request data during an assessment. |
| Invitation revoked | You withdrew the invitation or access. | Reinvite to reconnect. |
| Invitation declined | The contact person declined the invitation. | Reinvite, after checking the contact details. |
An info icon next to the column header explains the status, and you can filter the list by it.
ℹ️ What the supplier sees and does after accepting is covered in the supplier documentation, which is a separate section.
Tips
- Invite suppliers early, before you need their data for an assessment, so the connection is already in place.
- Keep contact emails current; an invitation goes to the contact's email address.
Troubleshooting
- The supplier did not receive the invitation. Check the contact's email on the General tab, correct it, then Send reminder or Reinvite.
- Send reminder is greyed out. A reminder was sent less than 24 hours ago. The button becomes available again after the cooldown; Revoke stays available in the meantime.
- A supplier shows Invitation revoked unexpectedly. Someone withdrew access. Use Reinvite to restore it.
ℹ️ Regulatory context. The regulation requires you to hold specific data about your suppliers and their plots. Connecting a supplier is how that data reaches you directly. See the consolidated EUDR text.
