Bulk Upload Production Facilities
Overview
You can add multiple production facilities at once using the bulk upload. This is helpful when you set up several sites quickly, ensuring your workspace stays organised without manual entry for each facility. You use a structured Excel template so each facility links correctly to its company and carries accurate address data.
The upload lives on the Companies page, because every facility belongs to a company. Uploaded facilities appear in the Production Facilities block of each company's Associations tab.
Before you start
- Download the sample Excel file from the upload dialog; always use a fresh template.
- The companies your facilities belong to must already exist in kolum, because each row references its company.
- Use two-letter country codes (DE, FR, IT) in the Country field.
🟢 Why this matters. Facility records document which legal entity produces where. That context supports the activity answers you give in each company's PPWR applicability check. See Regulation (EU) 2025/40.
Step by step
- Go to the Companies page in the left sidebar.
- Click Upload Company Production Facilities in the top-right corner.
- Download the sample Excel file shown in the upload window.
- Fill in the facility details:
- Name (mandatory).
- Company EORI Number (mandatory): must match a company already added to kolum. If it does not match, the row fails validation.
- Use Company Address: if TRUE, leave the address fields empty and the facility uses the connected company's address. If FALSE, fill in the facility's address: street name and number, postal code and city (mandatory), country (mandatory, two-letter code), and optionally PO Box, UN/LOCODE, latitude, and longitude.
- Save the file and return to the upload window.
- Select your file and click Upload file to start validation and upload.
Validation
- The company reference must exactly match an existing company in kolum, otherwise the row shows a validation error and does not upload.
- If Use Company Address is FALSE, all mandatory address fields must be complete, including City and Country in two-letter code format.
- No mandatory field may be empty.
After the upload
Open any of the referenced companies and switch to the Associations tab: the uploaded facilities are listed in the Production Facilities block, and your master data documents where production happens across your organisation.
Tips
- Double-check the company references before uploading; they are the most common source of failed rows.
- Use consistent site naming (site plus city) so lists stay readable across modules.
ℹ️ Regulatory context. PPWR obligations sit with the legal entity, and the facility upload documents which entity stands behind which production site (Article 3, Chapter IV). See Regulation (EU) 2025/40.
