Uploading articles in bulk lets you add or update many articles at once instead of managing them one by one, useful when your organization manages a large catalogue. The upload works hand in hand with the Export action on the Articles page: export all your articles, adjust the file, and re-upload it. An unchanged export re-imports with zero creates and zero updates.

The Template

Download the article upload template from kolum (Articles → Upload File → download the template). Enter one article per row. The template has the following columns:

  • Reference Number (mandatory): the first column and the key for the upload. Rows with a Reference Number that already exists in your account update that article; rows with a new Reference Number create one. Reference Numbers are not auto-generated on upload.
  • Name (mandatory): the article or product name.
  • CN Code (mandatory): the 8-digit Combined Nomenclature code that classifies the article.
  • Description (optional): additional free-text detail.
  • Net Weight Per Piece (conditional): the full net weight of one unit of the article, excluding packaging, as a positive decimal. Fill it together with the Measurement Unit or leave both empty.
  • Measurement Unit (conditional): the unit of the Net Weight Per Piece: kg or t. Required whenever a net weight is given; any other value is rejected with the allowed values named.
  • Precursor CN Code (CBAM-relevant) (optional): flags the article's precursor as CBAM-relevant; this can bring an article whose own CN Code is out of scope into CBAM scope.
  • Is EUDR-Relevant (optional): Yes/No; Yes is only valid when the CN Code is in EUDR scope.

There is no Type column, and company or supplier connections are not part of the file; they are derived automatically from your transactional data. The template's Explanation tab lists Net Weight Per Piece and Measurement Unit as Conditional and spells out the allowed units.

How to Bulk Upload Articles

  1. Download the template. Go to Articles, click Upload File, and download the template. Always use a fresh download: a file built on an earlier template version is rejected with a message that names the new and changed columns.
  2. Fill in one article per row using the columns above.
  3. Upload the file. Return to Articles, click Upload File, and select your completed file. If your column headers don't match the template, kolum can propose a column mapping automatically (for accounts with AI suggestions enabled).
  4. Review the preview. The preview distinguishes rows that will be created from rows that will update existing articles, shows errors inline per row and field, and flags rows whose values change on update.
  5. Confirm. The confirmation summary shows how many articles were created and how many were updated. Large files process asynchronously with a progress indicator.

Validation

  • Any invalid row rejects the entire file; nothing is partially imported. Download the error report, fix the rows offline, and re-upload.
  • A row without a Reference Number is invalid and rejects the file.
  • Marking an article EUDR-relevant whose CN Code is not in EUDR scope is invalid.
  • Net Weight Per Piece and Measurement Unit go together: a row with exactly one of the two filled is rejected as an incomplete pair. Zero, negative and non-numeric weights are rejected, and so is any unit other than kg or t.
  • Old CBAM or EUDR article templates are no longer accepted; uploading one is rejected with a message pointing you to the new unified template.

Tips

  • Keep Reference Numbers unique; they are the key used to link imports and emission data to each article and to match rows to existing articles on upload.
  • Use a valid 8-digit CN Code; an incorrect code will cause the file to be rejected.
  • Export, edit, re-upload is the easiest way to make bulk changes safely. The export includes Net Weight Per Piece and Measurement Unit, and articles without a net weight export with both cells empty rather than 0, so the file re-imports without changing a value.
  • Record the net weight per piece for articles you count in pieces, for example on purchase orders: it is what kolum uses to convert piece counts into net mass for EUDR.

What's new

The article upload template and export now carry a Net Weight Per Piece and its Measurement Unit (kg or t), so you can maintain the weight of one piece for your whole catalogue in one file and kolum can convert piece counts into net mass for EUDR.
