Reset Passwords and Manage Access
Overview
Keep access to your workspace secure and current: help users who cannot sign in, and remove access promptly when someone leaves or changes role.
Reset a password
Users can reset their own password from the sign-in page at go.kolum.earth using Forgot password. They receive a reset link by email and choose a new password.
If a user cannot complete the self-service reset:
- Go to User Management and open the user.
- Trigger a password reset for that user.
- The user receives a new reset email and can set a password again.
Deactivate or remove access
- Go to User Management and open the user.
- Deactivate the user to block sign-in while keeping the record, or remove the user entirely.
- Confirm the change.
Deactivated users cannot sign in but remain visible in your user list, which keeps your history readable.
Good practice
- Remove access on the day someone leaves the organisation.
- Review the user list periodically and check that roles and company assignments still match reality.
- Never share accounts. Individual accounts keep accountability clear for compliance records.
