Supplier Information
Overview
Supplier information (Art. 16) is the third step of a packaging item's journey and the home of the documents you need from your suppliers. The later steps, Substances and Technical documentation, mirror these documents read-only, so filing them here once feeds the whole evidence chain.
Before you start
- Know the item's supplier for the empty packaging.
- Request the documents below from the supplier if you do not have them. The step names the legal hook per document, which helps when a supplier asks why you need it.
🟢 Why this matters. Article 16 obliges suppliers of packaging and packaging materials to provide the information the operator needs to demonstrate conformity. This step turns that entitlement into a concrete checklist per item. See Regulation (EU) 2025/40.
The five document slots

Each slot shows its state: Received once evidence is filed, n/a where the item does not require it (for example PFAS documentation for a non-food-contact item, per its classification).

After this step
- The step shows Complete when the required slots are filled.
- Substances (Art. 5) and Technical documentation read these documents; you do not file them again.
- The item's Substances state in the Packaging list moves toward Conform as the evidence supports it.
Tips
- Ask suppliers for all five documents in one request per packaging item; the slot names and legal bases make a ready-made request list.
- Prefer documents naming the specific packaging item or component, not generic brochures.
- If a supplier cannot deliver, record what you have and chase the gap; a Partial status that reflects reality beats false completeness.
