Track and renew document validity
Overview
Documents have a validity period, and expired evidence weakens your buyers' assessments. This page covers keeping your library current.
🟢 Why this matters. A buyer's due diligence relies on valid evidence. An expired certificate can hold up a shipment or trigger a follow-up request, so staying ahead of expiry keeps trade moving. See the consolidated EUDR text.
Validity states
| State | Meaning |
|---|---|
| Valid | In date, with the end date shown. |
| Expiring soon | Close to its end date. Renew it soon. |
| Expired | Past its end date. Renew it before using it again. |
Use the Show expired option in the library to see documents that have lapsed.
Renew a document
- Obtain the renewed version of the document.
- In Documents, upload the new version and set its new validity date (see Upload a document).
- Keep its criteria tags so it stays reusable.
Tips
- Renew documents marked Expiring soon before a buyer requests them, rather than waiting for a follow-up.
- Update a submitted response with the renewed document (see View or update a submitted response).
